Change signatories or cancel signing after it has started

Fix a wrong email, swap or add a signatory during signing, or cancel signing to change the document.

Once signing has started, the document text is locked so everyone signs the same version. You can still change who signs. To change the content, cancel the signing and start again.

Available on all plans · To cancel signing, an internal user must be a Collaborator on the document, regardless of their account role. This also applies to Limited Managers.

Edit signatories while signing

The party must have a signature block placed in the document. A block for the whole party allows adding and removing signatories. A block assigned to an individual signatory allows only replacing that signatory, not adding or removing signatories.

  1. Open the document.

  2. Click the signatory you want to change.

  3. In Update signatory, change the name, title or email address. For a party block, you can also choose Remove signatory or add a new signatory to the party. For an individual block, replace the assigned signatory instead.

  4. Click Update signatory.

fynk sends a new invitation to the changed or added signatory. The old link stops working. Signatories who have already signed don't need to sign again.

Cancel signing to change the document

  1. Open the document.

  2. Click the ⋯ menu at the top right and choose Reset to Review, or Reset to Checkpoint if signing was preceded by a checkpoint.

  3. Confirm. The document returns to Review or the preceding checkpoint, and all signatures given so far are removed.

  4. Make your changes.

  5. Click Start signing again. All signatories receive a new invitation and sign again.

Good to know

  • Signatures can't be kept when the content changes. Even a single character would make the signed version differ from the new one.

  • You can't change the signing order after signing has started.

  • A colleague's title as shown in the signature block comes from their user profile. Change it in Account Settings → Users before you start signing. [CHECK]

  • The counterparty can't cancel your signing process. If they want changes, they can tell you in the document discussion.

Troubleshooting

The signatory says they never got the invitation? Check the email address and correct it if needed. To resend the invitation, open ⋯ → Sharing and click Re-send beneath the recipient in the Share dialog. Ask them to check their spam folder.

A signatory left the company before signing? Replace the assigned signatory. With a party block, you can also remove them and add the replacement. Signatures already given by other signatories stay valid.

You want to end signing early and keep the signatures already given? fynk can't finish a signing process with only some of the signatures. Download the PDF, collect the missing signatures outside fynk, and upload the result with Import without signing. Then link it to the original document and archive the original.
